Exhibitor Terms and Conditions
By securing an exhibitor space at DBaM 2026 at Caesars Palace, Las Vegas
By registering as an exhibitor for DBaM 2026, you acknowledge and agree to comply with the following Exhibitor Terms and Conditions. Exhibitors are encouraged to review these guidelines carefully to ensure a successful and productive Event experience.
1. Registration Acceptance
Submission of the Exhibitor Registration Form constitutes acceptance of these Terms and Conditions. Exhibitor participation is confirmed upon receipt of full payment and is subject to availability.
2. Payment
Full payment for exhibitor space is required to secure participation. Failure to remit payment in full may result in cancellation of the exhibitor’s reservation without further obligation by the Event organizers.
3. Cancellation & Refund Policy
All exhibitor cancellations must be submitted in writing to the Event organizers.
Full Refund
Exhibitors may receive a full refund of their registration fee if cancellation is submitted more than 90 days prior to the Event. Administrative or processing fees incurred by the Event organizers may be deducted from the refunded amount.
Partial Refund
Exhibitors may receive a 50% refund of their registration fee if cancellation is submitted between 31 and 90 days prior to the Event. Partial refunds may be subject to deductions for administrative fees, processing charges, or non-refundable deposits.
No Refund
No refunds will be issued for cancellations submitted 30 days or fewer prior to the Event. Exceptions may be considered at the sole discretion of the Event organizers in cases of force majeure or documented emergencies.
4. Transfer & Substitution Policy
In lieu of a refund, exhibitors may request to transfer their registration to another individual or company, subject to prior written approval by the Event organizers. Transfers and substitutions may be subject to administrative or processing fees.
All substitutions must be approved in advance.
5. Booth Assignment
The Event organizers reserve the right to modify booth assignments at any time as operational needs require.
6. Exhibit Space Responsibilities
Exhibitors are responsible for staffing and maintaining their exhibit space during all designated exhibition hours. Any requested changes to assigned exhibit space must be approved in advance by the Event organizers.
7. Exhibit Setup & Tear Down
Exhibitors must comply with all setup and tear-down schedules as communicated by the Event organizers. Failure to adhere to designated timelines may result in additional fees, penalties, or loss of future exhibiting privileges.
8. Use of Exhibit Space
Exhibit space may only be used for the promotion of products and services relevant to the DBaM Event and its audience. Activities deemed inappropriate, unsafe, or unrelated to the Event may be restricted or prohibited at the discretion of the Event organizers.
9. Liability & Insurance
The Event organizers, partners, sponsors, and venue (Caesars Palace) are not responsible for any loss, theft, damage, or injury to exhibitors, personnel, or property during the Event. Exhibitors are strongly encouraged to obtain appropriate insurance coverage for their exhibit materials and staff.
10. Promotional Materials
Distribution of promotional materials must comply with all rules and regulations set forth by Caesars Palace and the Event organizers. Exhibitors are responsible for securing any required permits or approvals.
11. Exhibitor Conduct
Exhibitors and their representatives are expected to conduct themselves in a professional and respectful manner at all times. Any behavior deemed disruptive, unsafe, or offensive may result in removal from the Event without refund.
12. Intellectual Property
Exhibitors are solely responsible for ensuring that all materials, displays, and demonstrations do not infringe upon the intellectual property rights of third parties. Any claims of infringement will be handled in accordance with applicable laws and regulations.
13. Indemnification
Exhibitors agree to indemnify, defend, and hold harmless the Event organizers, affiliates, partners, sponsors, and employees from any claims, damages, losses, or expenses arising from or related to their participation in the Event.
14. Modification of Terms
The Event organizers reserve the right to modify these Exhibitor Terms and Conditions at any time. Any updates will be communicated to exhibitors via email and/or the official DBaM website.
